Sample Radio Report |
This is a typical radio report which would be faxed, emailed or mailed to a
client. The reports can be formatted however the client wishes to see the
information. It can be laid out with market information, city, school, etc.
It can be sorted by call letters, by zip code, by market, by the record's
performance, etc.
Thought the codes are fairly easy to figure out, there is a key to the
codes and their definitions on the bottom of this page.

Report Code Definitions ^# = eg. ^4; notes the number of plays release received in the week (eg. 4 plays) Ý = a footnote; look in the remarks field to see more info about that week not rcvd = release not received rcvd = the release has been received, & is about to be put into the review process for rvw = the release is being reviewed rvw spec. = release is being considered for a specialty show, not general play re-rvw = release not deemed acceptable (addable) but md will re-review adv pick = release is an "adventure pick", ie. expected to do very, very well will add = release was approved and will get added (but hasn't been added yet) add = release was added into general rotation add DAY = eg. 'add WED'; notes which day it was added (usually Mon. or Tues.) add hvy = or 'add med' or 'add light'; added to that particular rotation add 'nr' = added to 'new rotation' or 'new releases' but not officially; similar to 'add test' add offcl. = release was a reported as an add to trade magazines add spec. = release was added to specialty show only, not to general programming add test = release added to 'test rotation' but not officially; similar to 'add 'nr'' no add = release was not added; may have been put into record library @#/add = eg. '@2/add'; added that week as well as charting @# = eg. '@2; md said it was at number # that week; not yet verified in trade magazine or not verifiable at all because station did not report their playlist to trade @#‰ = eg. '@2‰; md said it was at least as high as that number on the chart .@# = a period means the chart position was verified in a trade magazine (@#) = md said release was charting at #, but published chart does not concur; same applies for when the release is actually charting and the md told us something different [eg. .@7(light)] @# rpm = release is charting @# on C.M.J. RPM chart but not on general chart hvy = release is getting heavy overall play med-hvy = release is getting somewhere between medium and heavy play med = release is getting medium overall play light-med = release is getting somewhere between medium and light play light = release is getting light overall play light/spec. = could also be 'med/spec.' or 'hvy/spec.', when release is getting overall light (or heavy or medium) airplay but also getting specialty show airplay hvy rot. = release is in heavy rotation (doesn't always mean receiving heavy airplay) med rot. = release is in medium rotation (doesn't always mean receiving med. airplay) light rot. = release is in light rotation (doesn't always mean receiving light airplay) spec. show = release is being played on specialty show(s) exclusively not top 35 = wasn't able to contact md, but noted that the release wasn't tracking in the top 35 on their published playlist (in trade magazines, published by station, etc.) recurrent = release is now old and out of regular rotation MISSING = release is missing but md thinks might return STOLEN = release was stolen and there's no chance of recovery (or re-service) SVC NOW = release being serviced this week [call back] = md asked us to call back later because he/she is too busy right now [frozen] = chart is frozen for that week, same info as prior week [no chart] = md was contacted but had no intention of creating a chart for the week [no clue] = music director doesn't know anything about the release [no info] = music director was contacted but had no information at the moment [no MD] = station without a music director for the moment [unsure] = similar to '[no info]' but implies that md is competent enough to find out [will call] = we contacted md who promised to call us back a.s.a.p. [will check] = will check if release received or what else is happening with it (e-mail) = we sent e-mail to the music director asking for information (line busy) = office phone line was busy for entire office hours, couldn't make contact (md not in) = music director not in (unknown reason); could mean md is out for extended period or just for the moment, but also that it was impossible to leave a message (mssgs) = left at least one message (but probably more) (no ansr) = no answer at radio station (sometimes no answer on-air either) (off-air) = station off the air (on break) = station not staffed or not reachable because of school recess (postcard) = we sent a postcard to the music director asking for information (vacation) = the music director is on vacation, and thus not reachable
